EA/Operations Assistant

Varied, interesting role providing high-level support to two extremely busy Directors of a fast-paced, mission-driven organisation with a national footprint.

  • Location :Flexibility to work across varied locations (Stratford office, or members’ club in Fenchurch Street/Tower Hill area, and multiple site visits mainly in the London area)
  • Hybrid: Flexibility to work from home when the Directors are working from home
  • Hours: 9am-6pm, however some flexibility required
  • Salary: 43k-55k (depending on experience) + benefits
  • Training: personal development programme

We are looking for an organiser who thrives in a fast-paced support role, subject to change at short notice, who loves juggling diaries, smoothing out chaos, and being the right hand to visionary leaders.

We’re looking for a sharp, emotionally intelligent, and highly organised EA/Operations Assistant to support our two Founders. Your role will be vital in keeping things moving behind the scenes so we can stay focused on our mission.

Job Description

EA & Administrative Support

  • Diary management: Managing ever-changing schedules, organising meetings, prioritising appointments, and ensuring scheduling deadlines are met
  • Email gatekeeping: Owning inboxes, flagging urgent matters, and drafting clear, thoughtful responses
  • Meeting coordination: Coordinating meetings, creating agendas, taking minutes, and tracking follow-ups
  • Travel logistics: Arranging travel, accommodation, organising events or site visits
  • Digital file management: Maintaining and organising important documents, keeping shared drives organised, and auditing regularly

Strategic & Operational Support

  • Project coordination: Assisting with key strategic initiatives and mobilisation of new projects, tracking key deliverables
  • Reporting & analysis: Supporting compliance, audits, and reporting with accuracy
  • Stakeholder liaison: Liaising with internal and external stakeholders, upholding our communications policies at all time, , including with Ofsted and other organisations
  • Policy support: Helping implement, review, update, and ensure compliance with internal policies and procedures

Leadership & Team Support

  • Supervision and line management administration:Scheduling, minuting, and tracking actions from supervisions and performance meetings
  • HR and people management support: Assisting with employee oversight, tracking objectives, and following up on performance-related actions
  • Staff development coordination: Supporting training, inductions, and professional development plans

Person Specification

  • You’ve worked as a PA, EA, or in a senior admin role (ideally supporting C-suite or Founders)
  • Guarding confidentiality with tact, professionalism, and care
  • You’re confident working autonomously and juggling multiple priorities
  • You have exceptional written and verbal communication skills
  • You’re emotionally intelligent, intuitive, and calm under pressure
  • You bring a can-do mindset and enjoy using your initiative
