Exciting opportunity for an Executive Assistant/Project Coordinator to join a global Executive Search firm supporting two Partners on a 12-month contract.

- Hybrid/Flexi working – 3 days in the office for the first 3 months (then 2-3 days in office depending on the needs of the Partners)

Executive Assistant/Project Coordinator role:
Executive Assistant and project support to both Partners with their high-level Searches to find Financial Board members, CFOs etc for leading global businesses. You will be liaising with both their clients and senior level executive candidates (Board level/CFOs etc), so excellent communication skills are essential. You must be able to work in a fast-paced environment.
- First point of contact with the Partners and their high profile clients and senior level executive candidates and their extended team (EAs, Hiring Managers, HR)
- Assist the Partners with administration process for each of their searches, and keeping every step of the process on track ensuring they are moving the assignment/project forward
- Monitor the candidate pipeline for each search and adjust the project plan accordingly
- Diary management - arranging all meetings, MS Teams and/or Zoom call and interviews
- Create, edit and format all client documents (proposals, job specifications, status documents) ensuring information is correct
- Liaise with other departments internally Processing expenses for the Partners
- Assist with billing and client invoicing, tracking receivables Updating the CRM system Producing PowerPoint presentations
Executive Assistant/Project Coordinator profile:
- Have previously worked as an Executive Assistant or PA or have project coordinator or project management experience
- Have excellent organisational, multi-tasking and prioritising skills with the ability to meet deadlines set
- Have excellent communication and interpersonal skills with the confidence to liaise at all levels
- Have strong attention to detail
- Be able to work in a fast-paced environment whilst remaining calm under pressure
- Be a great team player
- Discreet with understanding of importance of confidentiality
- Have a positive, and flexible approach Good IT skills – Word, Excel, PowerPoint, Outlook
